Job Description

Salary: $50,000 base; commensurate with experience; District Clerk stipend

Position Overview:  The Secretary to Superintendent of Schools will have the primary responsibility of supporting the Superintendent by ensuring the day-to-day functions of the Superintendent’s Office run smoothly and by supporting the Board of Education as the District Clerk, appointed annually at determined stipend. The Secretary to the Superintendent of Schools will maintain the highest level of professionalism and confidentiality at all times.

Typical Work Activities:

  • Serve as a personal and confidential secretary to the Superintendent
  • Serve as District Clerk to the Board of Education in accordance with annual appointment
  • Fulfill all District Clerk duties for Board of Education including but not limited to: meeting preparation, minutes, website communication, correspondence, documentation needed before/during/after the meeting
  • Coordinate and arrange appointment schedules, activities, events, and reservations for the Superintendent
  • Attend meetings and keep accurate meeting minutes
  • Prepare various documents including but not limited to: spreadsheets, word processed documents, databases and presentations for the purpose of communicating information and/or creating documentation in compliance with established guidelines
  • Review claim forms and other documents for completeness, accuracy and conformity with established procedures
  • Maintain a wide variety of complex manual and electronic documents, files, records pertinent to the District and the Superintendent, being prepared to provide up to date information and/or historical reference in accordance with administrative guidelines and legal requirements
  • Schedule Superintendent Hearings and complete all associated procedures
  • Serve as back up Registrar when needed
  • Serve as McKinney Vento liaison; assist with foster care placement associated procedures
  • Attend Board of Education Policy Committee meetings to assist the Board as needed, including but not limited to: keeping accurate minutes, communicating with policy services to gather information for the Board
  • Receive subpoenas and claims related to District matters and well as process appeals to the Commissioner of Education
  • Research a variety of topics (e.g. current practice, policy, education codes, board agenda items, stakeholder complaints, legal updates) for the purpose of providing information and/or recommendations and/or addressing a variety of administrative requirements
  • Compile data from a wide variety of diversified sources for the purpose of preparing written and verbal reports
  • Operate technology and various web-based systems including but not limited to: SchoolTool, SEDREF, NYSED Portal, NYSED TEACH systems
  • Greet visitors with a friendly and helpful attitude, attentive to both visitor and Superintendent needs
  • Utilize skills to de-escalate communication when people are in a heightened or excited state
  • All other duties as assigned

Job Qualifications

Qualifications:

  • Clear communicator in oral and written language, including electronic communication
  • Work collaboratively with other staff members, students, families, stakeholders
  • Use problem solving and critical thinking skills
  • Maintain confidentiality with District, student, staff, and family information
  • Maintain a working knowledge of NYS Education Law concerning the office of the District Clerk, such as laws and governing procedures for District meetings
  • Obtain and maintain licensure as a NYS Notary Public
  • Ensure a customer friendly approach demonstrating an attentive and positive attitude
  • Demonstrate a professional and respectful demeanor
  • Maintain a high level of skill developing spreadsheets, reports, professional correspondence, use of web-based systems
